What personal information does VCW Financial have?
As required by the Proceeds of Crime (Money Laundering Act) and Terrorist Financing Act, I am required to ascertain the identity of my clients. The information that I retain on file on your behalf includes: Name, Address, Date of Birth, Photo Identification, Confirmation of existence of Canadian bank account, S.I.N. or BN, Spousal information where appropriate. This information is used for both insurance and investments.

In addition, during the course of total financial planning, for some of my clients, I complete comprehensive analysis including: net worth statements, budgets, income and expense statements.

Where is this information stored?
I use the database system called ACT 6.0 (by Symantec). This is on all of my computers. It is password protected as are the computers. I also run Norton Internet Security (includes firewall and virus checkers). In addition my dealer, Sterling Mutuals Inc. and my insurance providers, Equinox, Great West Life and PPI Financial all run server firewalls and virus protection.

Who has access to this information?
My assistants who are authorized by me to work on your files. This includes not only local staff but also the head office personnel from the head offices that I deal with. All must operate under the same confidentiality rules.

What additional protection is in place?
My client files and all personal information are locked up in locking file cabinets. In addition to this, my office door locks in all of my offices. All 3 of my offices are additionally protected by monitored alarm systems.

Can I see my files?
Absolutely! There is nothing in my files that you have not told me. If you have any concerns at all about what I keep, call me and set up a time to come to my office.

How are old files disposed of?
In accordance with provincial regulators rules and CCRA any information no longer required is shredded in it’s prescribed time period. The most common things that I shred regularly, are old investment statements. Histories are all available on line if past values are required.
